Privacy Policy for Roadbook Events

This page applies to Roadbook Events at roadbookevents.com.

What we collect

We collect information you choose to send us, including event listing details, organiser names and email addresses, support messages, event claim requests, newsletter or event alert preferences, and account information if you sign in.

If you submit an event, we may store technical details such as your IP address and browser user agent to help review submissions, reduce spam, and protect the service.

If you upload an event logo, the uploaded file and related object URL may be stored with our file storage provider so the image can be shown on the site.

How we use information

We use your information to publish and manage roadbook event listings, review submissions, verify organiser claims, send event alerts, answer support requests, process paid promotion orders, prevent abuse, and improve the site.

We may email you about your submission, claim, payment, support request, account access, or event alerts you requested.

Analytics and cookies

We use DataFast analytics to understand site usage and marketing performance. This site currently loads DataFast's default script, which DataFast describes as using cookies or similar identifiers and collecting visitor information such as IP address, browser type, device information, user agent, country, unique identifiers, and page activity.

We may also use PostHog analytics when configured for this site. These tools help us understand aggregate behaviour such as page views, traffic sources, and feature usage. You can control cookies through your browser settings.

Service providers

We use trusted providers to run the service, including MongoDB for database storage, Stripe for payments, Postmark or SMTP email services for transactional email, Google services for sign-in, reCAPTCHA, Maps, and file storage infrastructure, Slack for internal submission and signup notifications when configured, and DataFast and PostHog for analytics.

Payment card details are handled by Stripe. We do not store full card numbers on our servers.

Public event listings

Approved event listings are public. Information submitted for a listing, such as the event name, organiser name, location, dates, description, logo, and event website, may be displayed on the site. We do not intentionally publish organiser email addresses on public event pages unless clearly presented as public listing content.

Legal basis

Where applicable, we process personal data to provide requested services, perform or prepare a contract, comply with legal obligations, protect the service from abuse, and pursue legitimate interests such as improving and measuring the site.

Retention

We keep personal data for as long as needed to provide the service, maintain event records, handle payments and disputes, meet legal obligations, and resolve support or moderation issues. We may retain public event listings for historical reference unless removal is requested and appropriate.

Your choices and rights

You can ask us to access, correct, delete, or stop using personal data we hold about you, subject to legal and operational limits. You can unsubscribe from event alert emails using the instructions in those emails or by contacting us.

Children

Roadbook Events is not intended for children under 13, and we do not knowingly collect personal data from children.

We may update this Privacy Policy from time to time. The latest version will be posted on this page with the updated date.
